Aurora Black Community Inc. — Participant Terms and Conditions

By registering for and participating in any Aurora Black Community Inc. (ABC) program, event, or activity, you and/or your parent or guardian confirm that you have read, understood, and agreed to the following terms and conditions. These terms apply to all ABC programs and events, including the Rising Leaders Build Forward Summer Program, the Breaking Bread and Building Community Cultural Cooking Program, the I Can Swim Program, the Financial Leadership Program, the Back to School Sports Day, the Black History Month Gala, workshops, film screenings, cultural celebrations, and any other initiatives organized by ABC.

Program Registration and Participation

Participation in ABC programs is offered on a first-come, first-served basis and is subject to availability, eligibility, and capacity. ABC reserves the right to accept, decline, or cancel a registration where participation may affect the safety or experience of any participant or the program itself. Registration is not confirmed until all required information and any applicable consent forms have been completed.

Program Changes and Cancellation

ABC reserves the right to modify, reschedule, or cancel any program, activity, or event at any time due to operational requirements, low registration, weather, venue availability, or unforeseen circumstances. Participants will be notified of any changes as early as possible. ABC is not responsible for any costs or losses incurred as a result of program changes or cancellations.

Assumption of Risk

Participation in ABC programs and activities, including recreational, physical, cultural, sports, swimming, cooking, and outdoor activities, involves inherent risks, including the possibility of physical injury, accident, or illness. By registering, you confirm that participation is voluntary and that you assume all risks associated with that participation. If you or your child has a known medical condition, allergy, disability, or health concern that may affect participation, this must be disclosed to ABC at the time of registration.

Waiver and Release of Liability

By registering, participants and/or parents and guardians waive, release, and discharge Aurora Black Community Inc., its directors, officers, board members, employees, volunteers, facilitators, and agents from any and all claims, liabilities, damages, or causes of action arising from any injury, accident, illness, loss, or damage that may occur during or as a result of participation in any ABC program or activity. This waiver applies whether such injury or loss is caused by negligence or otherwise and extends to all claims from the date of registration forward. This release does not apply to instances of gross negligence or willful misconduct on the part of ABC.

Youth Programs (Ages 7 to 15)

For youth programs, parents and guardians confirm that their child is able to participate independently in a group setting without direct parental supervision, can follow reasonable instructions, and can engage respectfully with staff, volunteers, and fellow participants. ABC staff and volunteers will provide reasonable supervision during all scheduled activities. Parents and guardians are responsible for ensuring that emergency contact information provided at registration is accurate and current. ABC reserves the right to contact a parent or guardian at any time where a concern arises regarding a participant’s conduct, safety, or wellbeing.

Participant Conduct

ABC is committed to providing a welcoming, safe, inclusive, and respectful environment for all. Participants are expected to treat staff, volunteers, facilitators, and fellow participants with courtesy and respect at all times. Harassment, discrimination, bullying, or conduct that undermines the safety or experience of others will not be tolerated. ABC reserves the right to remove any participant from a program or event without refund where their conduct is deemed harmful or contrary to ABC’s community values.

Photography and Media

ABC programs and events may be photographed or recorded for promotional, social media, and grant reporting purposes. By registering, you grant ABC permission to use photographs or footage in which you or your child appears for ABC’s organizational purposes. If you do not wish to be photographed or recorded, please notify us in writing at the time of registration.

Transportation

Where ABC assists with transportation arrangements, including rideshare or carpooling, this support is provided at the participant’s or parent/guardian’s discretion and with consent. Transportation support is not guaranteed and may vary by program. The liability waiver above extends to travel arranged or facilitated by ABC.

Privacy

ABC collects personal information for registration, communication, safety, and reporting purposes only. Your information will not be shared with third parties without your consent, except where required by law or for safety purposes. ABC handles all personal information in accordance with applicable Canadian privacy legislation.
